A Letter to Us

"I am writing to you because I believe that good and beautiful experiences are necessary to hear and report. I also believe that it is important to acknowledge and thank individuals who go out of their way to help, assist, and solve challenges for others.

Today, James, the gentleman you assigned to our account, took care of us in a most professional, caring, and extraordinary manner.

As you know, we have been struggling with non-payment from insurance companies for over two and half months. We were very fortunate to get to you through searches on the internet, for a billing company that has expertise in mental health, and we are Thankful to G-D for directing us to your company. Equally, we appreciate your assigning James to be the head of our billing account.

In conversations with you, we explained that the software company through whom scheduling and electronic billing is done, has caused glitches and multiple mistakes in the billing format. As a result, income has stopped, and we are facing numerous, very difficult decisions.

Throughout these past three weeks since we’ve been introduced to James, he has been reassuring, caring, responsive, taking phone calls, and patient to say the least. But today we experienced an expertise and compassion that were truly extraordinary.

A few days ago James sent out a number of trial claims to test the changes/corrections made by ecw. One claim was accepted, while the other was rejected. He deliberately altered the accepted one, as he reported in our joint conversation with ecw, in order to test the system, and ensure it was safe to send out the claims. This meant that the correction by ecw, which they stated was complete, was in actual fact, faulty.

James instructed the software engineer in how to make the correct background changes, and clearly demonstrated knowledge of the system beyond that of the employee of ecw. He instructed the engineer in the changes that needed to be made, and to send out the claim, i.e. to test it. It came back rejected.  

James queried and coached him, and assisted him to fix the problem until the engineer was successful. It was truly inspiring to listen to the conversation between the two, and recognize that we are in good, and expert hands. Following the phone conference, James told me that when he saw my email with the link to the conference call with ecw, he felt it was important for him to attend the meeting, even while an unplanned event had unfortunately come up in his family.

This,  because he recognized the urgency of our situation, and perceived an essential opportunity to correct major errors. James also stated that he felt this meeting was crucial, which clearly it was, but, it was crucial only because of James’ attendance and  ability to direct the meeting with expert talent and knowledge.

[We] are very thankful to you for placing us with James. Furthermore, his passion and caring revealed itself in a private conversation that followed on the heels of our conference. James acknowledged to me that his location at the time of the meeting was outside of a building in which a very sad life cycle event for a cousin was taking place. It’s very rare to come across people who are as considerate, caring, talented and expert in their field.
